Council & Volunteering
ORMTA's Provincial Council is managed by volunteer ORMTA members. The Executive consists of the President, Vice President, Secretary-Registrar, Treasurer, Communications Coordinator and either a 2nd Vice President or Past President. The remainder of council is currently comprised of Zone Representatives who each also manage a specific portfolio. Councillors remain on Council for a 2-year term (with the option of continuing for a 2nd, 2-year term), or longer should they become a part of the Executive.
Virtual meetings are held in the Fall, Winter and Spring with the in-person Annual General Meeting held in the Summer months
At the 2026 AGM in August, the membership will vote on a new draft of ORMTA By-Laws. If approved, ORMTA Zones and the position of Zone Representatives will no longer exist. Therefore, we are currently accepting nominations to join Council as “Council Members at Large.”

Programs

Creates ads for events and print resources for ORMTA promotion
Responsible for contacting current and potential advertisers for ORMTA’s advertising channels
Responsible for ad placement decisions in ORMTA’s Notes Magazine
Organizes advertisements for ORMTA’s Notes Magazine editor
Issues invoices for advertisements
Oversees online advertising of ORMTA
Find and maintains liaisons with other similar organizations

Highly recommended that the councillor with this portfolio is familiar with rules set out by Canada Revenue Agency regarding charitable organizations
Coordinates changes, additions or deletions to the Bylaws
Fully reviews the Bylaws every 3 years, obtaining legal advice if needed

Share ideas for branch and provincial events to celebrate Canada Music Week
Prepare reports for the CFMTA Canadian Music Teacher magazine and ORMTA Notes magazine
Plan a social media campaign to raise awareness about Canada Music Week and share Canadian music videos, etc.
Contact provincial leaders to request letters of congratulations in recognition of Canada Music Week and distribute these through social media and Notes

Coordinates the ORMTA Provincial Instrumental and Vocal Competitions yearly and the Young Artist Competition bi-annually (on a convention year)
Duties include: suggesting and booking adjudicators, recruiting volunteers, setting a schedule, hosting and reviewing the rules, application forms, fees and programmes
Provides support to Branches organizing Zone Competitions to ensure continuity

Plan and deliver initiatives that entice prospective members to apply for membership
Find and maintain liaisons with other similar organizations such as OMEA, NATS, Music Mondays, etc.
Be responsible for reciprocal advertising with affiliate organizations of workshops, events, etc.
Add posts and questions on ORMTA social media pages for membership questions and concerns
Plan ways to recognize milestone years of membership

Promote the provincial level writing competition to members through social media, Accent, and Notes magazine
Represent Council in hiring a provincial adjudicator
Oversee all aspects of the application process, adjudication process, and results of the competition
Work with the national CFMTA Chair to submit provincial winning entries
Prepare an article for Notes, presenting the results and winning entries
Prepare results of all entries for the ORMTA website

Collects OCTA nominee information from Branches and assembles a Power Point presentation and programme for the Awards Luncheon
Collects Pedagogy Award application forms and confirms a winner
Collects information for the website, Notes Magazine and Awards Luncheon presentation
Reviews the nomination and application forms annually

Accepts applications from music educators who wish to be added to the ORMTA Clinicians List
Liaise with the Communications Coordinator to inform membership of upcoming workshops and professional development opportunities on social media channels and website
Keeps a list of clinicians, updated yearly, to be used by branches looking to have in-person or virtual workshops
Prepares the "Fresh Beats" monthly e-newsletter

Promote the Young Artist Tour opportunity to branches and members
Oversee all aspects of the Provincial Young Artist winner's tour (in an even year), including promotional materials, scheduling, travel, programs, etc.
Work with the national CFMTA Young Artist Chair to organize promotional materials
Promote the Ontario tour dates through social media, Accent, and Notes magazine
Represent Council in outreach to companies and associations who may wish to sponsor a venue, etc. for the tour
Aim to bring a strong community presence to the tour
Raise the profile of past Young Artists with articles (Where Are They Now?) in Notes magazine and other social media outlets
Liaise with the national CFMTA Young Artist Chair to promote a provincial tour for the national winner (in an odd year)
